Fundraising and Donor Services Manager

Are you a Fundraising and Donor Services Manager?  Project HOPE, a growing global not-for-profit organization is looking for you! You will proactively manage and improve all aspects of the donor experience for Project HOPE constituents. This includes oversight for gift data entry, processing and receipting; ensuring accurate database content, integrity and utility by managing facets of data entry, policy and hygiene; proposing and creating systems that improve the donor experience, reduce organizational risk and increase efficiency; and overseeing several initiatives related to Project HOPE’s fundraising status, development strategies and acknowledgement efforts. The position will also manage processes and provide key input to support Project HOPE’s fundraising initiatives.

The ideal candidate will have a strong donor service and fundraising background, with management experience and the technical capacity to implement industry best-practice in donation management, data input and constituent relationship building.

Position located in Millwood, VA (about 15 miles from Winchester, VA).

Key Responsibilities:

  • Oversees the Fundraising Operations Specialist and the process for entering gift batches into the NetFORUM database, following established protocol for gift data entry and acknowledgement.
  • Manages outside vendors responsible for processing both online and offline gifts and provides training as necessary.
  • Establishes and evaluates processing and procedures that are used in measuring the effectiveness of Donor Services performance.
  • Handles customer service calls, emails and letters related to donations and gift processing, as well as communicates with the Development team about changes in donor habits, requests or updates. Updates customer records.
  • Supports processes for key tasks including state registrations and management of file suppressions and donor preferences codes.
  • In coordination with the Finance team, ensures PCI compliance within all aspects of gift processing.
  • Develops new donor welcome and gratitude strategy, including providing weekly team assignments.
  • Monitors all acknowledgement letters on a monthly basis, determines messaging and strategy to approach, ensures all information is accurate and the letters are varied.
  • Oversees outside vendors responsible for gift acknowledgments, provides guidance to other Development team members, orders materials, and sends personal acknowledgments as needed.
  • Works with the Director of Individual Giving to develop and support Project HOPE’s acknowledgement strategies beyond the acknowledgement letters.
  • Assists in the management of fundraising projects. Reviews and edits fundraising copy and design based on knowledge of fundraising goals, segmentation, performance history and industry techniques, and execute creative review process across departments.
  • Ensures deliverables and key milestone timelines are met as outlined in production schedule.
  • Reviews and verifies data selected matches creative application.
  • Tracks and reconciles all expenditures for direct marketing and communications budgets.
  • Other duties as assigned by supervisor.

Basic Requirements:

  • Bachelor's degree and at least five years of experience with progressively increasing responsibilities in non-profit fundraising and donor services.
  • Demonstrated advanced proficiency using NetFORUM or equivalent constituent database.
  • Demonstrated donor or customer service management experience, including donation management, gift acceptance policies, donor acknowledgement best practices, confidential handling of donor information and compliance with Payment Card Industry (PCI) data security standards.
  • Advance knowledge of Microsoft Outlook and the Microsoft Office suite of software.
  • Coursework in accounting preferred.
