The Administrative Assistant is responsible for a range of clerical and administrative activities to support the operations of the Office of the President and the CEO. In consultation with the Executive Assistant to the President and the CEO, primary duties consist of scheduling and coordination of the President's and CEO’s calendars, directing the incoming and outgoing mail, transcription of the President's and CEO’s daily correspondence, telephone coverage, and logging of email, fax and other communications. Also, provides copying and other administrative support to the Executive Assistant and the President and the CEO.


  • Responsible for scheduling and coordination of the President's and the CEO’s daily appointments and travel, under the supervision and direction of the Executive Assistant.

  • Coordinates communications, including telephone, email and fax to assure professional, timely, and effective routing of information is achieved.

  • Answers calls to the Office of the President and the CEO, assists callers as appropriate and ensures that messages are delivered to appropriate individuals in a timely manner.

  • Retrieves incoming mail, forwards mail as appropriate, and reviews communications for priority attention.

  • Prepares and maintains daily tickler file, and coordinates with Executive Assistant to assure follow through and attention to detail in response on behalf of the Office of the President and the CEO.

  • Responsible for general filing, logging and labeling documents and correspondence to assure retention and access to information.

  • Process financial/accounting-related items, including purchase orders, check requests and other payment processing on behalf of the President and the Office of the President and the CEO.

  • Assist the EA in her role as Secretary to the Board of Directors with Board meeting preparation.

  • Other duties as requested.


  • Bachelor degree or comparable work experience.

  • 3 years’ minimum experience in a senior level office setting.

  • Excellent organizational and administrative skills, ability to manage multiple tasks of high priority, in professional, confidential, and efficient manner.

  • Exceptional interpersonal skills, discretion, sound judgement, tact and poise to project professional image of the Office of the President and the CEO and to facilitate smooth operations.

  • Excellent verbal and written communication skills.

  • Ability to work well under pressure, and to respond flexibly and resourcefully to the workload fluctuations, demonstrated initiative and problem solving skills.

  • Demonstrated expertise in use of personal computers, including command of word processing, power point presentations, desktop publishing, and basic experience with database management software required.

  • English fluency required. Second language proficiency preferred.

  • Travel between Virginia and Maryland offices, and to meetings within the Washington, D.C. area as necessary.
